Final Instructions

Final Instructions: As the deadline will NOT be extended, please read and follow these instructions carefully or you risk having your paper rejected.

Dear Author,

Congratulations on the acceptance of your paper for one of the most selective (acceptance rate of 30% thus far) and prestigious conferences of the year. Since IAJC-sponsored conferences are a prelude to expedited journal publication, the multi-level review process is very rigorous. All papers were subjected to blind-reviews by 3-5 expert and dedicated reviewers.

Please follow carefully the instructions included here in order to have your paper published in the conference proceedings and be considered for journal publication in one of the growing list (nine so far) of IAJC member journals.

1) Copyediting and proofreading of the final version of your paper.

In order to expedite publishing conference papers directly in one of nine (9) or more IAJC member journals, authors of accepted papers should send the final version of their papers for final proofreading and complete copyediting to an editing company or a professional editor. We strongly recommend that you use ProEdit, Inc., a well-known, US-based editing company and a partner of IAJC. Through a special agreement with them, they will provide this service for only $.03/word (30% off of their regular price) to IAJC members. However, NAIT members and other non-members can get this special discount for this year’s conference.

Please be advised that you pay ProEdit directly for this service. Go to their web site: www.proedit.com and click on “IAJC members” on the left and follow their easy instructions. Their experienced editors are ready to receive your paper. Please do this ASAP so as not to overwhelm their staff close to the deadline. IAJC will only publish papers that are free of grammatical errors and have been edited by ProEdit or a professional technical editor. We do not require that authors use an editing company for publishing their papers in the conference proceedings.

2) Register for the conference by October 13, 2008.

At least one author from each accepted paper must register for
the conference at the full registration rate by October 13, 2008. We have to prepare the conference CD, so this deadline cannot be extended. Papers WILL BE pulled from the conference if registration and payments are not received by the deadline. Please visit the conference web site for easy instructions. Credit payment is fast, secure and reliable. If paying by check, it is your responsibility to make sure that we receive your check by the October 13th deadline. 

IAJC Membership: Please take advantage of our special invitation to join IAJC first so that you can register at the discounted rate and take advantage of the many exclusive benefits. Unlike other professional organizations, IAJC is an exclusive club and membership is by invitation only. The goal of IAJC is to invite a limited number of dedicated individuals and institutions to represent and promote its elite name brand.

Attention Iranian-Based Authors: Due to difficulties obtaining a U.S. visa, we have arranged a special session of our conference at the prestigious University of Tehran. You can also pay your registration fee to the local IAJC chapter there. Please contact me immediately for more details.


3) Email the copyedited, correctly formatted, camera-ready version of your paper to submission@ijme.us by October 13, 2008.

Please double check your copyedited paper for correct formatting as stated on the conference web site under Author’s Kit. Also before submitting your final paper, we recommend that you review the sample paper (under “Author’s Kit”), which includes the ISBN# of the conference. Make sure that all authors’ emails are included so that we can contact you quickly if questions arise. Papers that do not follow the formatting instructions will be automatically rejected. Please make sure to include your paper ID code (e.g., paper #036 IT 301) in the subject line of your email followed by: “camera-ready”. Some papers have been moved to other sessions due to overcrowding. Please make sure you include the correct session on your paper.


4) Presentation and program scheduling

Due to the large number of papers, scheduling is tight. Ideally each paper should have a separate presenter. However, if you intend to present two papers—the maximum allowed—please contact me immediately so that we can try to schedule your sessions so that they do not overlap. Presenting authors must prepare a 15-minute (PowerPoint is strongly recommended) presentation and allow 3 minutes for Q&A. We will also send you a template that you can use. All technical session rooms will be outfitted with a computer and a projector. However, internet access may not be available in all rooms. The final program schedule will be posted by this Wednesday. At that time, you may check the web site to see when your presentation is scheduled. All technical sessions are on Tuesday, November 18th, and Wednesday (1/2-day), November 19th.  The NAIT conference is scheduled to begin Wednesday afternoon, with technical presentations starting on Thursday, November 20th.

 

 

5) Lodging and transportation.
Our conference is at the Sheraton Music City in Nashville, Tennessee, USA. Please reserve your room ASAP as it will be a busy week in Nashville (with the NAIT partner conference and other activities). We have reserved a limited number of rooms at a great discounted rate, which includes free internet access. Nashville is a great city to visit in November with moderate climate and a lot to do. It is easy to drive or fly to Nashville. Please check lodging information on the conference web site for more detailed information.
